Job Description
Essential Duties and Responsibilities
- Oversee all property operations — maintenance, capital improvements, lease administration, budgeting, forecasting, reporting, collections, evictions, vacancy anticipation, marketing, lease renewals, service contracts, expense control, and audits — in accordance with company policy and all applicable Fair Housing, ADA, Fair Credit Reporting Act, OSHA, EPA, and other Federal, State, and Local laws.
- Assist in budget preparation and oversee financial performance, managing budgets, monitoring expenses, and maintaining accurate bookkeeping and cash accounts; ensure rents are collected, posted, and deposited daily, and pay vendors as directed by the Regional Manager and owner.
- Provide exceptional customer service and communication to residents and prospects, overseeing the lease renewal program to maximize retention, foster satisfaction, and enhance revenue, reputation, and profitability.
- Develop and implement marketing strategies through competitive market surveys and creative outreach to drive occupancy and revenue, with particular attention to positioning and maintaining Class A community standards.
- Hire, train, motivate, and supervise all on-site staff — including leasing, customer service, and maintenance personnel — through team building, training, annual reviews, and payroll/overtime approval, ensuring engagement and minimizing turnover; consistently review leasing performance and paperwork.
- Review and approve all leasing application files, enforcing Community Qualifying Criteria fairly and consistently for all applicants; schedule and perform evictions and utility cut-offs, and enforce lease rules and regulations.
- Ensure all vendors are on the approved vendor list and compliant, and build strong vendor relationships for cost-effective, high-quality service; oversee timely turnkey scheduling and accounts payable processing.
- Maintain office operations, curb appeal, and office/model cleanliness; walk all rent-readies and the property regularly, reporting deficiencies or liability concerns to the Regional Manager immediately.
- Maintain complete compliance with applicable regulatory boards (EEOC, OSHA, EPA, HUD, etc.).
- Respond to all emergency situations, preparing necessary reports and notifying the Regional Manager; fill in as a Leasing Consultant or Assistant Property Manager as needed.
- Travel to and support additional properties within the portfolio as needed, providing leadership, operational oversight, and coverage across multiple communities.
- Adapt to company growth and operational change with flexibility in scheduling, coverage, and travel as required by the site, portfolio, and Regional Manager.
- Perform additional duties as requested by the Regional Manager and/or Executive Vice President to support community success.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Bachelor's degree preferred; equivalent relevant work experience required.
- Minimum of 5+ years' experience in residential property management, including managing a portfolio of at least 400 units and directly supervising a team of 7 or more employees.
- Proven experience managing Class A properties, with a strong understanding of the service, presentation, and resident-experience standards Class A communities require.
- Willingness and ability to travel regularly, including occasional overnight travel, to support and manage multiple properties within the portfolio.
- Proficiency in property management software, including YARDI®, RentCafé, and credit screening platforms, as well as Microsoft Office Suite (Word, Excel, Outlook).
- Strong leadership abilities with experience training, developing, and mentoring a high-performing team across one or more properties.
- Exceptional written and verbal communication skills, with the ability to resolve resident concerns professionally; bilingual ability may be required based on property needs.
- Excellent organizational, multitasking, and time management skills with strong attention to detail and follow-through.
- Strong integrity and professionalism, including confidentiality, fiduciary responsibility, and adherence to federal, state, and local Fair Housing laws, ADA, OSHA, and EPA requirements.
- Basic understanding of Landlord/Tenant law and familiarity with state-specific leases and addendums.
- Ability to adapt to change and work in a dynamic, team-oriented environment while maintaining a positive, motivating attitude.
- Flexibility to work a varied schedule, including weekends and holidays, as needed.
- Valid driver's license and reliable transportation required.
